Scanned Document Output Options

We can convert from one system to another, and we can help you produce generic format affidavits and images for the other side to accept without dispute.

Specialized Scanning Services

BCSS document scanning services are not limited to standard black and white or grey-scale images. We have invested in a variety of production scanners, able to handle duplex (double-sided) scanning as well as a variety of document page sizes and media types. These include, but are not limited to, coloured originals, prints and photographs, over-sized and odd-shaped documents. You can also be confident that our well-trained and experienced scanner operators will handle your delicate originals with the greatest amount of care.

Coding

Whether you call it bibliographical indexing or "tombstone" data entry, objective coding is the entry of basic information about each production document. Rather than simply create a list of documents in word processing format, our objective coding is imported directly into your structured litigation support database. This means that you get much more than a static list to be served on the other side: you get a powerful trial preparation tool that links to your document images, discovery transcripts, and other key information pertinent to your case.

Our standard coded fields include Author, Recipient, Document Type, Document Title and Document Date and we can also code many other types of information that may assist counsel on a particular matter. Our coding is accurate and consistent, to ensure nothing is missed when searches are performed. Our highly trained team of document specialists follow a customized manual that we prepare with your approval and all our coding work passes through multiple levels of quality control.

BCSS can offer a Bates numbering scanning service where the scanning process involves scanning the originals once, digitally numbering the images according to the Bates numbering system. The scanned documents may then either be dispersed electronically or reprinted complete with unique Bates numbers.

OCR

A cost-effective supplement to the coding of your scanned documents is Optical Character Recognition (OCR) text conversion. Whereas scanning turns a paper document into a digital image file, OCR produces a fully editable and searchable text at just pennies per document.

Is OCR 100% accurate? Not quite, but for the purpose of enhancing database searches, the text produced by our high-end OCR engines is excellent. OCR can be a powerful weapon that is simply unavailable without scanning.
